Hundreds of Hours Back? These AI Tools Can Help

As we kick off a new year, conversations turn toward goals, focus, and how we want to improve over last year. My team and I are having those same conversations, and AI comes up almost every time. Whether we like it or not, AI is here to stay, and those who embrace it early will reap the rewards. The early bird still catches the worm.

Before we go on, I want to be really clear on one important point: AI is not here to replace you.

In business, we talk a lot about scaling. But as an owner or practitioner, scaling is hard. If you are not there doing the work, the work often does not get done. That is why we hire associates and build teams.

AI works the same way.

Think of it as hiring a digital assistant whose sole job is to help you do more of what matters, without adding hours to your day.

Below are six simple AI tools that can immediately help you scale your business. There are many more, but these are a great place to start. I may even turn this into a short series based on what I have seen work best for my business and for my clients.

1. Wispr Flow

This tool alone can save you hundreds of hours.

Whisper Flow is not just speech to text. It is speech to correct English. It understands context, fixes grammar, structures your thoughts, and formats what you say in real time.

If you say “number one, number two, number three,” it actually formats it that way.

You can use it anywhere there is a text prompt. Clinic notes, letters to doctors, emails, documentation. Instead of typing for an hour, you just speak.

Even better, imagine sitting with a patient while a team member presses one button and your notes are created as you talk. They simply review for clarity afterward.

I use it so often that I honestly get annoyed when I have to type.

2. YourAtlas.com

If you have a small team or want to support your front desk without hiring, this is a powerful option.

Your Atlas uses AI voice agents that can:

  • Answer incoming calls
  • Respond to common questions

  • Re-engage patients automatically

You can train it using your own knowledge, language, and processes. It can even handle outreach your TC does not always have time for, while still sounding natural and human.

Social media does not have to feel overwhelming.

Blaze learns you and your practice. You can feed it your website, bios, background information, product or aligner resources, and educational content.

From there, it creates:

  • Emails

You can generate a full week or more of content in minutes, then edit or approve it as needed. It removes the stress without removing your voice.

4. Zapier.com

Zapier has been around for a while, and it is still incredibly powerful.

If your software systems do not talk to each other, Zapier acts as the connector.

It can:

  • Connect systems that do not integrate
  • Trigger actions automatically
  • Streamline scheduling, ordering, emails, and workflows

For example, an email comes in saying supplies are low. Zapier triggers a reorder and sends you a confirmation so you can approve it.

Once set up, it feels like your entire system finally works as one.

5. Notebook LM

This is a game changer for learning.

Drop in a document, whether it is a 100 page airway report, a research paper, or training material, and Notebook LLM will summarize it and pull out the key insights.

If you want, it can also create a podcast style conversation that explains the information, or build a visual presentation.

If you learn best through audio or visuals like I do, this makes learning faster and far more engaging.

6. Zoom + Fathom (Training Manuals Made Easy)

Every office I visit tells me the same thing.
“We really need to update our training manuals.”

Here is the easiest way to do it.

Start a Zoom meeting. No one else needs to join. Share your screen and talk through the process. Billing, scheduling, insurance, it does not matter.

Use Fathom, and when you are done it will:

  • Summarize exactly what you said
  • Create written step by step documentation
  • Give you a video training asset

Now you have a video for onboarding, written manuals for reference, and far less time pulling team members away to train new hires.

These are just six simple AI tools, but they can dramatically change how your business runs and how much energy you have left at the end of the day.
